Email and Text Reminders for Client User

Learn how to set up automated reminders and send reminders manual reminders.

Overview

Xenett allows you to follow up with clients for open questions using email and text (SMS) reminders. These reminders help ensure clients respond on time and reduce the need for repeated manual follow-ups.

With reminders, you can:

  • Send reminders automatically on a schedule

  • Send reminders manually whenever needed

Use Cases

  • Prompt clients to respond to open or pending questions

  • Reduce delays caused by missed follow-ups

  • Automate routine client reminders

  • Improve turnaround time for client submissions


Enable Auto-Reminders (Email)

Auto-reminders send reminder emails or text messages to clients automatically based on a defined schedule.

  1. Go to Client in Xenett

  2. Navigate to Settings → Client Portal

  3. Scroll to Set Up Auto Reminders

  4. Configure the reminder schedule (day and time)

Once enabled, Xenett will automatically send reminder emails or text to clients for open questions.

Text reminders can only be enabled if a firm phone number is added and activated.


Set up Text (SMS) Notification

Text notifications are available only when a firm phone number is configured.

1. Set a Phone Number for Your Firm

A firm phone number is required to send SMS reminders.

Steps

  1. Go to Settings → Questions / Client Portal

  2. Enter your firm’s phone number

  3. Save the changes

This number will be used to send all text reminders to clients.

2. Add Client Phone Numbers

Each client user must have a phone number saved to receive SMS reminders.

Steps

  • Open the client user list

  • Add a valid phone number to the client profile

  • Save the changes

Text reminders will not be sent if a client's phone number is missing.


Send Email or Text Reminders Manually

You can also send reminder emails or text messages manually when required.

  • Go to the Questions module

  • Choose Send Reminder

  • Send the reminder immediately

This option is useful when you need to follow up outside the auto-reminder schedule.

Update Template

The user can view and update the default template for the email and text reminder which will be sending upon enabling the options.

When the user click in new tab the templates will open and can view various template in there are default template for the email and Text titled:

Email template : Notification To Client

Text template : Text reminder

You can only schedule the email for later


Reminder Templates

These templates are used when reminders are sent after enabling the reminder options.

  • Email template: Notification to Client

  • Text template: Text Reminder

You can view or update these templates by clicking Update Template from the reminder configuration, or by navigating to:
Settings → Templates → Email / Text
