Internal Comments

This article explains how to use Internal Comments in Xenett to collaborate with your team.

Updated over 2 weeks ago

Internal Comments in Xenett allow you to communicate with your internal team directly within the system. You can ask questions, share updates, and collaborate on specific transactions, tasks, or general topics that are not linked to any task or transaction.

Use Cases

  • Ask and Assign Question on any task, transaction or any general question

  • Leave a remarks, note or any observation

  • Avoid scattered communication across emails or chat tools

How to Add an Internal Comment

You can create internal comments in two ways.

Option 1: From a Task or Transaction

  1. Open the relevant task or transaction

  2. Click the comment icon on the task or transaction

  3. Enter your message in the Internal Comments section

You can create two types of comments from a task:

Unassigned Comment (Note)

  • You can create a comment without assigning it to anyone

  • This is treated as a normal comment or note

  • It is visible only within that specific task or transaction

  • The comment does not appear in the General Comments section

Assigned Comment (Trackable Comment)

  • It becomes trackable with a status

  • It appears in the General Comments section

  • The status can be updated from both the task and General Comments

  • The comment includes a link to the original task or transaction in the General Comment section

  • Clicking the link redirects you to the source task or transaction

Option 2: From the General Comments Section

  1. Navigate to the General Comments section

  2. Click Add Comment

  3. Write your message

  4. Assign the comment to a team member (required)

⚠️ Important: A General Comment cannot be created unless at least one team member is assigned.

General comments are best for discussions that are not tied to a specific task or transaction.

Viewing and Responding to Comments

Comments can be viewed in:

  • The related task or transaction

  • The General Comments section (assigned comments only)

From a comment, you can:

  • Reply to the comment

  • React to the comment

  • Update the comment status (only for assigned comments)

Pinning Rules

  • By default, the most recent comment appears in the comment listing column

  • You can pin a comment to keep it consistently associated with a task or recurring task

  • Pinned comments appear at the top of the comment section

  • Pinned comments also appear at the top of the comment listing column, instead of the latest comment

  • A pinned comment remains visible until it is manually unpinned

Filters and Organization

Filters help you quickly find and manage comments based on their status or relevance. These filters are available in the General Comments section and provide a clear overview of all conversations.

  • Open – Shows comments that are newly created and have not yet received a response or reaction.

  • Responded – Displays comments where a response or reaction has been added, but the conversation is not yet completed.

  • Resolved – Shows comments that are fully addressed and marked as completed.

  • Created by Me – Lists comments that were created by you, helping you track questions or discussions you initiated.

  • Assigned to Me – Displays comments that are currently assigned to you and require your attention.

  • Mentioned – Shows comments where you were mentioned, ensuring you don’t miss any important updates or requests.

As you change a comment’s status, it automatically moves to the corresponding filter category,

Edit or Delete a Comment

You can edit or delete only the comments created by you using the More Actions (⋯) menu.

How it Works

  1. Each comment includes a three-dot (⋯) action icon.

  2. Click the ⋯ icon on the comment you want to manage.

  3. Select one of the following options:

    1. Edit Comment – Modify or update the existing comment.

    2. Delete Comment – Permanently remove the comment.
