Every business has recurring expenses such as rent, utilities, insurance, and software subscriptions. These expenses may occur monthly, quarterly, or annually. As an accountant, ensuring these entries are consistently recorded is critical—but manually tracking them in spreadsheets and reviewing the general ledger is time-consuming.
Xenett automates this entire process using the Entries Checklist review point. It helps you identify missing or extra recurring entries and allows you to create accrual entries with just a few clicks.

What Is the Entries Checklist?
The Entries Checklist is a review point that automatically scans your general ledger, identifies vendor payment patterns, and creates a checklist of expected recurring entries.
Once configured, Xenett:
Detects recurring vendor trends
Defines how often entries should appear (monthly, quarterly, annual)
Flags missing or extra entries automatically
How to Add the Entries Checklist Review Point
Open your close process.
If the review point is not present:
Click Add New Task and select Entries Checklist.
If you are on the Xenett Finances Review Plan:
Add it directly as a Review Point.
Once added, Xenett immediately scans your general ledger and creates checklist configurations automatically.
How Automatic Checklist Creation Works
Xenett analyzes historical general ledger data to identify vendor trends.
Example:
If you pay Canva every month for subscriptions,
Xenett expects one Canva entry each month in the subscription account.
If an entry is missing, the checklist shows it as Unmatched.
This happens automatically the first time the review point is added.
How to Add a Checklist Manually
You can also create checklists manually.
Click Add Checklist.
Select the Vendor (e.g., Microsoft).
(Optional) Select the Account.
Define the Expected Frequency:
Monthly (once, twice, or multiple times)
Quarterly (e.g., March, June, September, December)
Annual
(Optional) Add filters such as:
Class
Specific conditions
Click Add.
The checklist is now active.
Editing or Deleting a Checklist
Hover over a checklist.
Click the Configuration (⚙️) icon.
Update or delete the checklist as needed.
How to Read the Entries Checklist
Each checklist shows:
Expected entries for the selected month
Actual entries found in the general ledger
Status Types
Matched: Expected count equals actual count.
Unmatched:
Missing entries
Extra entries
Click on any count to view the underlying transactions.
Matched entries require no action. Unmatched entries may require follow-up or accruals.
Creating Accrual Entries from the Checklist
For unmatched items, you can create accrual entries directly.
Click Create Accrual.
Xenett pre-fills:
Vendor
Account
Accrued expense account
Date
Amount (based on historical data)
Click Save to create the accrual entry.
Optional Reversal Entry
Reversal entries are not selected by default.
Enable the option if you want Xenett to automatically post the reversal.
Collaboration via Comments
You can add internal comments on checklist items to ask questions or collaborate with teammates.
Client-facing questions are not supported yet but may be available in the future.
Switching Between Periods
By default, the checklist shows the period currently being closed.
You can easily switch to past months to review historical data.

Xenett also provides an Entry Trend Analysis report to simplify checklist creation.

Hiding Future Checklists
If you have checklists configured for future months:
Enable Hide Upcoming Checklists to remove them from the current view.
This keeps your checklist focused only on the current close period.
