Learn how to create, customize, and share financial reports with clients on a recurring basis, such as monthly or quarterly.

Overview

When working on a project, you may need to share financial reports with your client on a regular basis (monthly, quarterly, or as required). The Publish Report feature allows you to prepare, customize, and share key financial statements directly with your client through the client portal or as a downloadable PDF.

Note: The Publish Report feature is currently available only for QuickBooks Online clients. It is not yet available for Xero clients.


Use Cases

  1. When an accounting firm needs to present monthly or quarterly financial results to a client in a structured and professional format

  2. When clients request regular financial updates and teams want to avoid preparing and sending reports manually each time

  3. When financial data needs to be reviewed collaboratively during client meetings using a single consolidated report


How to Access Publish Reports

  1. Open the relevant project.

  2. Navigate to the Publish tab.

  3. A default report template will already be available.

  4. Select Edit Mode to start customizing the report.

Customizing the Report (Edit Mode)

In Edit Mode, you can fully customize the report layout and content.

  • Add new pages to the report

  • Insert financial reports (P&L, Balance Sheet, Cash Flow, Trial Balance, Aging Reports)

  • Add charts for visual representation

  • Update or modify existing pages

Steps to Add Content

  1. Add a new page (if required).

  2. Select the page and choose to add:

    • Reports

    • Charts

    • Other available components

  3. Adjust and update existing pages as needed.


Previewing the Report

  • Use Preview Mode to review the final look of the report.

  • Ensure all pages, data, and visuals are correct.

  • Make final adjustments if required before publishing.

Publishing or Unpublishing the Report

  • Once the report is ready, select Publish.

  • Published reports become visible to client users in the Client Portal under the Reports menu.

  • If needed, you can Unpublish the report at any time to hide it from the client.

Downloading the Report

  • You can download the published report as a PDF file.

  • The downloaded PDF can be shared with any user, even outside the client portal.
