New Entities

The New Entities Review gives you a quick, focused view of newly created vendors, customers, and accounts. By validating and correcting them early, you reduce future errors, maintain clean records, and strengthen your review process.

Overview

The New Names Review helps you quickly identify all new vendors, customers, and accounts created during a selected period. This review is designed to help you validate that new records are legitimate and that related transactions are coded correctly before issues repeat in future entries.


Enable the Review Point

If the review point is not already added:

  1. Click New

  2. Click Task/Review Point and select New Entities from the library

  3. Click Add

If the review point is already added, simply click on it to open the review.

How to Interpret the Review Results

When you open this review:

· You’ll see a summary of new vendors, new customers, and new accounts created in the selected period

· Each section shows the total count (for example, 5 new vendors, 2 new customers, 1 new account)

· Items appear here because they were created recently and require a quick validation

If a name appears in this review, it means it’s newly added and should be checked for accuracy and legitimacy.


Recommended Actions

Based on the review results, you should:

· Confirm the vendor, customer, or account is legitimate

· Review how transactions are coded for the new name

· Correct any incorrect account coding immediately to prevent future misposting

· Mark the item as reviewed once confirmed


How the Review Works

Step 1: Open the Review Point

Click on the New Entities review point to view all vendors, customers, and accounts created during the selected period.


Step 2: Review New Vendors and Customers

For each new vendor or customer:

· Verify that the name is legitimate (not a duplicate or fraudulent entry)

· Review how transactions are coded

· Click View Transactions to inspect related activity, if needed

· Update the account coding if corrections are required

Once verified, click Mark as Reviewed. The item will be removed from the list.


Step 3: Review New Accounts

For new accounts:

· Confirm the account is appropriate and correctly classified

· Review transactions posted to the account

· Fix any incorrect mappings early to avoid repeated errors

After review, click Mark as Reviewed to confirm it is correct.


Summary

Reviewing new vendors, customers, and accounts early helps prevent:

· Ongoing miscoding of transactions

· Duplicate or unnecessary names

· Fraudulent or unauthorized vendors

This review ensures clean master data and consistent accounting going forward.
