How to create Other Project

Overview

In addition to Close projects, Xenett allows you to create Other projects for all non-close activities. These projects are designed to manage routine, operational, or one-time work that does not form part of a Monthly, Quarterly, or Annual Close process.

Common examples include routine bookkeeping, payroll processing, and daily operational tasks.

This article explains how to create an Other project, configure recurrence, and manage recurring tasks within the project.

Use Cases

Other projects are useful when you want to:

  • Manage routine bookkeeping activities

  • Track daily, weekly, or monthly operational tasks

  • Maintain all recurring non-close work in a single project

  • Avoid pulling accounting data when it is not required

How to Create an Other Project

  1. Go to the Client and open the Projects module.

  2. Click New β†’ Project.

  3. Scroll down and select Other Project.

Project Details

  1. Enter the Project Name (for example, Bookkeeping).

2.Select the Project Type.

  • You must have a project type (such as Bookkeeping) created beforehand.

3.Select the Client.

4. Select the Project Manager.

5.Choose the Recurrence.

  • Xenett provides multiple recurrence frequencies.

  • For routine bookkeeping, it is recommended to set the project as one-time, since individual tasks will control their own recurrence.

  1. (Optional) Select the Accounting Period.

  • This is optional because Other projects do not require pulling accounting data for review.

Start Date and Due Date

  • Start Date is mandatory for all projects.

  • If no accounting period is selected, Xenett defaults the start date to the current date.

  • If an accounting period is selected, Xenett defaults it to the first day of the next month.

  • You can change it before creating the project.

  • Due Date is optional.

  1. Click Continue.

Template Selection

  • Select the appropriate Other Project template (for example, a Bookkeeping template).

  • Templates help predefine sections and standard tasks.

  1. Click Create.

The Other project is now created.

Creating Tasks in an Other Project

Tasks inside Other projects control the actual work and recurrence.

Example 1: Recording Bank Feed (Daily Task)

  1. Click New β†’ Task.

  2. Enter the task name (for example, Record Bank Feed).

  3. Select the Section (for example, Group Bookkeeping).

  4. Optional) Select assignees.

  5. Set Recurrence to Daily.

  6. (Optional) Enable Skip Weekends.

  7. Add a Description for notes, URLs, credentials, or references.

  8. Add a Checklist to document SOP steps.

  • You can also import a saved checklist template using Use Template.

9.Click Create.

Example 2: Payroll Processing (Weekly Task)

  1. Create a new task named Payroll.

  2. Add or select a Payroll section.

  3. Set Recurrence to Weekly.

  4. Choose the specific day of the week.

  5. (Optional) Set how many days before the due date the task should appear.

  • Example: Set 2 days before to see the task on Monday for a Wednesday payroll.

6.Click Create.

Viewing All Recurring Tasks

If you do not see certain tasks on the project screen:

  • Click the three-dot menu next to the project name.

  • Select Recurring Task List.

The recurring task list shows:

  • All tasks created in the project

  • Their recurrence frequency

  • Upcoming due dates

This helps track tasks that are created but not yet due.

By using a single Other project:

  • You can manage tasks with different recurrence frequencies together

  • Daily, weekly, and monthly activities stay organized

  • Routine workflows become easier to regulate and accelerate
