Overview
When someone leaves your firm, goes on extended leave, or changes responsibilities, the clients they look after need a new owner. Transfer User lets you hand over all of that user's work to another user in one step, instead of reassigning tasks, projects, and comments one by one.
You can start a transfer in two places:
From the Command Center (open it anytime with Ctrl + K on Windows or Cmd + K on Mac), whenever you want to move work between two users.
From Manage Users, while deleting a user, so their work is handed over before they're removed.
Only Admin users can transfer work.
What gets transferred
The transfer works at the client level. Every client the user is assigned to is reassigned to the new user, and the following move with them:
Clients: all clients where the user is assigned.
Tasks: open tasks on those clients. Completed tasks stay with the original user.
Assigned comments: open and responded comments. Resolved comments stay with the original user.
Projects: projects where the user is the assignee, excluding completed projects. On each project, the new user takes the same role the original user held.
Custom field users: any user-type custom field that points to the original user is updated to the new user.
Transfer a user's work
Open the Command Center by pressing Ctrl + K (Windows) or Cmd + K (Mac).
Under Other Actions, click Transfer User. You can also start typing "Transfer User" to find it.
In From User, select the user whose work you want to move.
In To User, select the user who will take over.
Review the list of clients that will be reassigned, along with the note explaining what moves and what stays.
Click Transfer.
In the Confirmation popup, click Yes, transfer.
The popup closes and a message confirms that the work was transferred to the new user. This can't be undone, so check the names before you confirm.
A few things worth knowing:
The user you pick in one dropdown isn't available in the other. Both dropdowns have a search box if your team is large.
Transfer stays disabled until both users are selected.
If the From User has no clients assigned, you'll see "{User Name} has no clients assigned" with a note that there's nothing to transfer. Select a different user to continue.
If you click Cancel on the confirmation popup, you go back to the Transfer User window with your selections still in place.
Transfer work while deleting a user
Use this when you're removing a user and want their work to move to someone else first.
Go to Manage Users.
On the user's row, open the Actions menu and click Delete.
In the Delete Confirmation popup, choose one of the following:
Cancel closes the popup and keeps the user.
Delete removes the user right away, without transferring their work.
Transfer and delete moves their work to another user first, then removes them.
If you chose Transfer and delete, the Transfer User window opens with the user you're deleting already filled in as the From User. Select the To User.
Review the list of clients that will be reassigned to the new user.
Click Transfer and delete. This stays disabled until you've selected a To User.
In the Confirmation popup, click Yes, transfer and delete.
The work moves to the selected user, the user is removed, and a message confirms both. As with any delete, this can't be undone.
If you click Cancel on the confirmation popup, you go back to the Transfer User window so you can change your selection.
