Overview
The Account Balance Checks review helps you identify accounts with balances that do not meet expectations. It highlights potential issues by flagging accounts with non-zero balances where zero is expected, unusual balance directions, or balances that exceed defined thresholds.
This review helps you quickly detect mispostings, clearing issues, or abnormal account behavior before close.
Enable the Review Point
If the review point is not already added:
1. Click New
2. Click Task/Review Point and select Account Balance Checks from the library
3. Click Add
If it is already added, simply click on the review point to open it.
How to Interpret the Review Results
When you open this review, accounts are grouped into three categories:
· Accounts with Zero Balance Expected
· Accounts with Unusual Balance
· Accounts Violating Threshold Limits
By default, Xenett only shows accounts with conflicts. You can switch views to see reviewed, matched, or all accounts if needed.
Recommended Actions
Based on the review results, you can:
· Investigate and correct posting errors
· Update account mappings or expectations
· Mark items as reviewed if the balance is acceptable
· Adjust configuration settings when business rules change
How the Review Works
1. Accounts with Zero Balance Expected
This section highlights accounts that are expected to have a zero balance but currently do not.
Common examples include:
· Clearing accounts
· Suspense accounts
· Temporary holding accounts
Xenett automatically identifies these accounts using predefined keywords (such as clearing or suspense). If a balance exists where zero is expected, the account is flagged.
You can:
· Update the account mapping using the settings (gear) icon
· Add or remove accounts from the zero-balance list
· Mark the account as reviewed if the balance is acceptable
2. Accounts with Unusual Balance
This section flags accounts whose balance direction does not match expectations.
Examples:
· Accounts that should normally be positive but show a negative balance
· Accounts that typically carry a negative balance (such as discounts or refunds) but show positive
For instance, a Cash on Hand account showing a negative balance would be flagged as unusual.
Review these accounts to understand the cause and correct the underlying transactions if needed.
3. Accounts Violating Threshold Limits
This section allows you to define custom balance thresholds at the account level.
For example:
· You may expect the Rent account to stay within a certain range
· If the balance exceeds or falls below the defined limit, Xenett flags it
Thresholds can be configured in Settings, and any violation will automatically appear in this review.
Working with Review Status
· Mark as Reviewed indicates that the balance has been reviewed and is acceptable
· Reviewed accounts are hidden by default
· You can toggle views to see conflicts only, reviewed, or all accounts
